Rules and regulations

In this overview you can find a short overview of the most important regulations concerning the construction of a stand in the Jaarbeurs Exhibition centre, during exhibitions of VNU Exhibitions Europe. More information can be found in the exhibitor manual of the exhibition (on the website per August 2010).

1. Approval of booth design
You will need to hand in the drawings of your booth for approval to Frank van de Steenoven or Gerinho Troenokarso of the backoffice department of VNU Exhibitions Europe. He will evaluate your design regarding booth location, technical aspects and possible environmental factors. When the booth has been
approved by Frank or Gerinho, you are ensured the booth can be assembled without any problems.
Following requirements concerning the approval of your drawing are necessary to include.
    1. obligatory: Technical drawing (side-, front- and from above view including sizes)
    2. desirable: commercial drawing, visuals

    

    The deadline for handing in your drawing is 27 December 2010.

    With the approval for your booth construction you may rest assured that the construction will be
    completed without any problems.

Attention: We would advise you to check if the drawings that are made by your booth construction builder or manager are sent in for approval. This means you know in advance that you don’t have to worry about the design of our booth.

2. Minimum stand requirements
The separating walls with all neighboring stands need to be placed by you and need to be 2.5 m high. This means you cannot use the back wall of your neighbors. The entire floor area needs to be covered.

3. Height
Depending on the height of the hall, it is possible to build higher than 2.5 m, as long as your design has been approved by Frank van de Steenoven or Gerinho Troenokarso. This is essential, as the height in the hall can differ in places.  If your stand is higher than 2.5 m, the distance between the separating wall and your build needs to be more than 1 m, in the interest of your neighbors. The separating walls always need to be 2.5 m high. This is to ensure that you and your neighbors are not confronted with unnecessary surprises. Only if you receive written consent from your neighbors, can you alter these plans. The height of the hall is given on your exhibition map. 4. Walls
Especially exhibitors with an island stand or head stand sometimes don’t have sufficient wall space. Extra wall space can be created by placing a wall along the aisle. This is a logical solution, but is not very nice for both the visitors and the exhibitors on the opposite side of the aisle if they are faced with a high, blank wall. Far from ideal!
If you are short of wall space, you can create extra walls within your stand. Not directly facing the aisles, but a meter inward. This way your stand retains its open character.

Attention: every aisle side of a stand can be closed up to a maximum of 50%, with a maximum length of 5 m, unless VNU Exhibitions Europe decides otherwise (in writing). This means we have the right to, if necessary without a reason, change the regulations.

5. Obstacle schematics
Check the map thoroughly for markings which indicate obstacles on your stand. You received this map together with your confirmation of stand allocation.
Make sure you take any obstacles into account when designing your stand.
You are allowed to build the obstacle in, but all available fire-hoses have to remain visible and within reach. You are not allowed to attach anything to the columns. Please contact the backoffice department of VNU Exhibitions Europe for more information.

6. Multi-storey builds
Multi-storey builds are always higher than 2.5 m and are allowed as long as you have informed us and keep a minimum distance of one meter from your neighbors.

Make sure you have requested written approval by the backoffice department of VNU Exhibitions Europe of your plans.

You also have to request specific permission from the Fire Service (department of prevention) of the council of Utrecht, Dienst Stadsontwikkeling. The addresses can be found below.

7. Aisles
It is not allowed to build stands that reach into the aisles. We would also ask you to contain your activities to the stand itself and not place displays and products outside the stand. This hampers the flow of the visitors and can be a danger to fellow exhibitors and visitors.
